The problem

Getting to the end of the month isn’t the same as knowing where you stand.

Most squat owners run year one the same way. Pay the staff, pay the lab, pay the lease, and hope the buffer holds until next month. Then do it again. You know you got through the month. You don’t know whether you’re any closer to covering your costs, how long the cash would last if nothing changed, or where the money actually went.

That isn’t a failing. It’s what running a squat looks like when the only numbers you have are a bank balance and a set of year-end accounts that arrive months after the year.

From the founders

We’ve been there.

We built our first squat in Manchester in 2020, with no loan and no finance director. For years we took nothing out of it. We worked as associates to pay the bills and put everything back into the practice.

Then we did the sums properly. For every £1 the practice earned, 80p was leaving before we’d paid ourselves a penny as clinicians, let alone as owners. By our own definition we’d been breaking even every month: everyone got paid. By any real definition we were nowhere near it.

How It Works

  1. Connect Your Data.

Connect your business bank account through regulated, read-only open banking, or drag and drop your statements and invoices. Monai organises every transaction into cost categories.

  2. Review Your Dashboard.

Revenue, costs, operating profit and cash position in one place, updated as things change. See how each cost compares with similar practices.

  3. Know What to Do Next.

Monai Agent tells you the one thing to focus on this week, and answers follow-up questions in plain English from your real data.

Built for practice owners, not accountants. No financial training, no spreadsheets, no hours set aside each month.

Why you need it

Your balance tells you what’s there. Not how long it’ll last.

Your bank app shows a number. It doesn’t tell you whether that number is nine months of runway or three, whether you’re closer to covering your costs than you were in the spring, or which of your costs are high because you’re new and which are just high. Monai does, every month.

See the gap, and where the money goes.

Break-even isn’t “everyone got paid this month”. It’s the point where what comes in covers what goes out, before you’ve taken anything for yourself. Monai puts revenue, costs and operating profit side by side every month, so you can see the gap and watch it close as the diary fills. And because every transaction is organised into cost categories, business rates, the lease, IT and the dozen small subscriptions each get a line of their own, so “where did it all go?” has an answer.

Know which costs will settle, and which won’t.

In year one, staff and premises look expensive as a share of revenue because the diary isn’t full yet. They settle as it fills. Lab fees and materials move with treatment, so growth won’t bring them down: if they’re high now, they’ll be high at full capacity too. Benchmarking against similar practices shows which costs are a stage you’re passing through and which are worth a look now.

The same goes for marketing. Someone will give you a rule of thumb for what to spend, and you’ll run with it because it’s the only number you have. Monai shows what you’re actually spending, as a share of revenue and against similar practices.

Ask how long the cash will last.

Dentist, practice manager, marketing lead, HR, and you still have a list to see. Finance director is one hat too many, and a real one is a salary a squat can’t carry and doesn’t need yet. Monai Agent does that job. Ask in plain English, “At this rate, how long will our cash last?”, and it answers from your real transactions. It tells you the one thing to focus on this week and suggests a next step. The decision stays yours.

Security

Your financial data stays yours.

A squat’s finances are confidential by design. No other practice can see your data and no third party can access it.

Read-only access. Where you connect your bank, it’s through regulated, read-only open banking. Monai can read transactions. It can’t move, change or transfer your money.

Never used to train AI models. Your practice data is yours, and is never used to train public AI models.

Monai uses bank-level, enterprise-grade security, with encryption in transit and at rest, built to UK data protection and GDPR standards. If you’d rather not connect a new business account yet, drag and drop your statements and invoices instead. Either way works.

FAQs

FAQs

Yes.

Monai works from your first bank connection, and even a few months of transactions show the pattern: what’s fixed, what’s moving, and which way cash is going. It’s most useful from around month six, once there’s a trend worth reading. Either way, the earlier you start, the longer the history you’ll have when you need it.

Fair question. We’d say the cost of not knowing is higher.

We ran our first squat for years before we worked out that 80p in every pound was leaving before we’d paid ourselves. The demo is free, and you’ll see your own numbers before you decide anything.

No.

Your practice’s financial data is confidential by design. No other practice can see it, no third party can access it, and not even the Monai team can view your underlying financial information. For the data you connect or upload, Monai acts only as a data processor — we use it to run your dashboards, benchmarks and insights, and never for our own purposes or commercial gain.

Yes.

Monai is built to bank-level, enterprise-grade security standards. Your data is encrypted in transit (TLS 1.3) and at rest (AES-256), and hosted on UK-based, ISO 27001-certified infrastructure with role-based access controls and full audit logging. Where you connect your bank, it’s through regulated open banking and the connection is strictly read-only: information flows one way only — from your bank, through the open-banking infrastructure, to Monai. Nothing ever travels back from Monai to the open-banking infrastructure, let alone to your bank. Monai is not a bank, cannot move money, and never sees your banking login.

No.

Your data is never used to train AI models. Monai uses AI to analyse your own numbers and produce your insights, but your identifiable information is never used to train general-purpose or third-party AI models. Any data used to improve the system is aggregated and anonymised so it can’t be traced back to you or your practice.

Your data stays yours — and stays protected.

If you leave, you’re in control: you can ask us to export your data, or to delete it. By default we keep it in a restricted-access, archived state for up to three years — so you can pick up where you left off if you return, and so we can meet audit and legal obligations — or we permanently delete it on request, normally within 90 days.

Monai Tech (JY Tech Ltd, FRN 1057592) is an agent of Yapily Connect Ltd (FRN 827001), authorised and regulated by the FCA.

Your bank connection is provided through Yapily Connect Ltd, which is authorised and regulated by the Financial Conduct Authority; Monai Tech acts as its agent for this regulated open-banking activity.

Monai is not a regulated financial adviser, and it doesn’t give financial, investment, tax or legal advice. Its intelligence layer surfaces insights and possible actions from your own numbers — but the mastermind stays you, the practice owner. Monai supports your judgement; it doesn’t replace you, your accountant, or your professional advisers.

Monai is your financial operating system — so it stays focused on the money.

You can upload PMS documents if you find it useful, but Monai is deliberately built as your financial operating system: the only KPIs it reports on are financial ones. Rather than trying to be another clinical or practice-management tool, it does one job properly — giving you a clear, trustworthy view of the financial side of your practice.

You choose — most people connect their bank.

You can connect your bank through regulated, read-only open banking, or simply drag and drop your files and invoices — whichever suits you. Most users choose the bank connection because it’s faster, easier and secure.

It’s your own finance director — with guardrails.

The Monai Agent is your own AI-powered finance assistant. It works only with your practice’s information, operates inside strict guardrails, and answers in plain English. Think of it like a good finance director: a deliberately narrow area of expertise, but exceptional depth. It won’t wander outside your numbers — and it’s there to inform your decisions, not to make them for you.

You can — they just do a different job.

Xero and QuickBooks are bookkeeping software, built for your accountant. They don’t have Monai’s dental intelligence layer, or the rich, practice-specific context of a financial operating system. Accounting software is for your accountant. Monai is for the busy practice owner who needs to understand the numbers and know what to do next.

No.

The system was designed to do that part for you — turning your financial data into a clear picture and plain-English guidance, with no financial training, spreadsheets or hours each month required.
